1. Introduction
WayZora ("WayZora," "we," "us," "our") provides road, sea, air and multimodal freight services for businesses, including quotes, bookings, shipment tracking, customs documentation support and proof of delivery (the "Service"), accessible through the WayZora website and our quote and booking tools.
This Privacy Policy explains what personal data we collect, how we use it, who can access it, and the rights available to you. It applies to customers who request quotes or book shipments with us ("Client"), the people who send and receive those shipments, and visitors to our website.
For quotes, bookings, billing and our relationship with Clients, WayZora acts as the data controller: we decide how that data is used to deliver the Service. Where a Client gives us personal data about other people, such as a consignee or a site contact, the Client is responsible for having the right to share it with us for the shipment.
2. Who this applies to
- Client organisations (businesses that request quotes or book shipments with WayZora)
- Client staff who contact us, request quotes, or manage bookings on behalf of a Client
- Shippers, consignees, and site contacts named on a booking or shipping document
- Drivers and crew of Carriers we work with, to the extent their details appear on shipment records
- Website visitors to the WayZora website and related pages
3. Information we collect
3.1 Contact and account data
- Name, job title, company name, work email, and phone number provided through the quote form, email, phone, or WhatsApp.
- Login credentials, where you use an online account or tracking link.
3.2 Shipment data
- Pickup and delivery locations, dates, preferred transport mode, and cargo details (description, weight, dimensions, value, packaging, and special handling needs).
- Names, addresses, and phone numbers of shippers, consignees, and contacts at pickup and delivery sites.
- Proof of delivery, including the receiver's name and signature, and photos of cargo where taken.
3.3 Trade, customs, and billing data
- Business identifiers required for transport and customs, such as GSTIN, PAN, Importer-Exporter Code (IEC), and KYC documents required by customs authorities.
- Commercial invoices, packing lists, bills of lading, air waybills, e-way bills, licences, and permits.
- Billing contacts, invoices, and payment records. Card and bank payment details are handled by our payment provider; we do not store full card numbers.
3.4 Tracking and location data
- Location and status updates for shipments in transit, provided by vehicle GPS devices, Carriers, ports, and airlines.
- Driver and vehicle details (such as driver name, phone number, and vehicle registration) supplied by Carriers for a specific shipment.
3.5 Communications and technical data
- Emails, WhatsApp messages, and call notes relating to quotes, bookings, and claims.
- Website usage data: IP address, browser and device type, pages visited, and cookies (see section 11).
The Service is intended for businesses and is not directed at children.
4. How we use personal information

We do not use shipment or tracking data for advertising, and we do not sell personal data to third parties. We send marketing emails only to business contacts who have agreed to receive them, and every such email includes a way to opt out.
5. Shipment and location data — additional safeguards
Shipment and tracking data can reveal where people and goods are, so it is treated with additional care:
- Live location is tracked only for the vehicle or consignment while a shipment is in transit, not for drivers outside a booking.
- Shipment updates and tracking links are shared only with the Client that booked the shipment and the contacts it names.
- Identity and KYC documents are used only for the customs and regulatory purposes they were collected for.
- Access to shipment records is limited to WayZora staff and Carriers who need them to perform the Service.
- Where a Client provides personal data about consignees or site contacts, the Client is responsible for giving them any notice required by law.
6. How we share information
- Carriers: trucking companies, shipping lines, airlines, and port and terminal operators receive the shipment details they need to move your cargo.
- Customs brokers and authorities: customs, tax, port, and other government authorities receive documents and data required by law to clear and move cargo.
- Insurers and surveyors: where cargo insurance is arranged or a claim is made.
- Service providers: cloud hosting and storage, email, SMS and WhatsApp delivery, and payment processing, under confidentiality and data-processing agreements.
- WayZora personnel: operations, billing, and support staff with a need to access records, under confidentiality obligations.
- Other Clients: never. One Client's shipment data is not visible to another Client.
We may also disclose information where required by law, court order, or a lawful request from a government authority, or to protect the safety of people or cargo.
7. Data retention
- Quote requests that do not become bookings: retained for [24] months, then deleted or anonymised.
- Booking, shipping, and customs records: retained for the periods required by applicable tax, customs, and transport law.
- Invoices and payment records: retained for the periods required by applicable tax and accounting law.
- Tracking and location data: retained for [12] months after delivery, unless needed for a claim or dispute.
- Upon account closure or on request, we delete or anonymise personal data we no longer need, except where the law requires us to keep it.
8. Security
We protect personal data with reasonable security practices, including:
- Encryption of data in transit and at rest.
- Role-based access so staff and Carriers see only the shipments they handle.
- Access logging for shipment and customer records.
- Payment processing through a payment provider, without storing full card numbers.
No system is perfectly secure, and we encourage you to use strong, unique credentials and report any suspected unauthorized access immediately to info@callidoratechnology.com.
9. Your rights and how to request data deletion
Subject to applicable law, you may have the right to:
- Access the personal data held about you.
- Correct inaccurate or incomplete data (e.g., a wrong contact number or delivery address).
- Request deletion of data we no longer need, except where the law requires us to keep it (for example, customs and tax records).
- Withdraw consent to marketing messages at any time.
- Nominate another person to exercise your rights if you are unable to.
- Lodge a complaint with the Data Protection Board of India or another relevant data protection authority.
To exercise these rights, contact us at info@callidoratechnology.com. If you are a consignee or site contact named by a Client, you may also contact the Client that booked the shipment.
India-specific note: Where the Service processes personal data of individuals in India, we aim to handle it consistently with the Digital Personal Data Protection Act, 2023, and applicable customs, GST, and transport record-keeping requirements.
10. International transfers
International sea and air shipments require sharing shipment and consignee data with Carriers, ports, customs brokers, and authorities in the countries the cargo passes through or is delivered to. We share only what is needed to move and clear the cargo. Our service providers may also process data outside India. Appropriate contractual safeguards are used for any cross-border transfer, subject to any restrictions under Indian law.
11. Third-party links and cookies
The Service may use third-party infrastructure and services to operate (for example, cloud hosting and storage, email, SMS and WhatsApp delivery, mapping and tracking tools, and payment processing). Third-party services are governed by their own terms, and we are not responsible for their availability, accuracy, or performance, or for websites you reach through links on our website.
Our website uses essential cookies to work and may use analytics cookies to understand how it is used. You can control cookies through your browser settings.
12. Changes to this policy
We may update this Privacy Policy periodically. Material changes will be reflected by an updated "Effective date" at the top, and, where required, communicated through the Service or by email.
